Smart Freight Centre (SFC) is an NGO that has gained a lot of attention during the past 10 years, as we have been leading the way to an efficient and zero-emissions global freight sector. We drive transparency and mobilize multinational companies and their logistics partners to take action. This is done through globally standardized guidelines for industry to calculate, report, and reduce emissions. 


✏️ About the position 
Smart Freight Centre is entering a new phase of organisational growth and global expansion. As our programmes and partnerships continue to scale, strong governance processes, structured coordination, and disciplined revenue oversight are increasingly important to support effective decision-making and leadership alignment.

The Governance & Strategic Coordination Officer plays a key role in supporting the organisation’s leadership team by ensuring that strategic planning processes, fundraising governance, and Management Team workflows operate with clarity, discipline, and consistency.

This role sits at the intersection of strategy, governance, and operational coordination, helping translate leadership priorities into structured processes, clear documentation, and effective follow-through.

By providing structured oversight across grant governance, strategic planning cycles, and leadership coordination, the role enables SFC’s senior leadership to focus on high-level strategy, partnerships, and program delivery.

⏰ Hours: 40 hours/week 
⚓ Location: Amsterdam (hybrid work) Minimum 2 days per week in office location
⌛ Starting date: April/May 2026
      Salary Range: €3,416.00 - €3,750 gross per month inclusive of 8% holiday allowance

⭐ Here’s an idea of what tasks you might be working on 
1. Fundraising & Revenue Governance
Support the organisation’s fundraising governance by maintaining clear oversight of the revenue pipeline and ensuring alignment between program teams, strategy, and finance.

Responsibilities include:
  • Maintain structured oversight of the full grants and corporate contributions pipeline in Salesforce, in close collaboration with Senior Strategy Manager.
  • Coordinate monthly revenue validation cycles between Program Teams and Finance.
  • Track proposal submission deadlines, reporting timelines, and compliance requirements.
  • Prepare revenue dashboards and forecasting.
  • Flag discrepancies, risks, or missing documentation for escalation.
  • Coordinate due diligence documentation and maintain centralized repository.
  • Support process improvement in grant governance and forecasting alignment..
2. Governance & Management Team Coordination
  • Coordinate preparation of Management Team agendas in collaboration with Senior Strategy Manager
  • Track MT action items and ensure timely follow-up
  • Maintain documentation of strategic priorities and planning milestones
  • Support preparation of annual planning and 3-year strategy materials
  • Ensure alignment between planning outputs and reporting frameworks
  • Maintain structured archive of governance documents and decision logs
3. Leadership Support
  • Provide structured calendar and workflow coordination support to the Senior Director to ensure alignment with MT rhythm and strategic priorities
  • Coordinate preparation of briefing materials for senior leadership meetings
  • Support cross-functional scheduling linked to governance and revenue processes
  • Ensure visibility and tracking of leadership-level commitments and deadlines.
Key Deliverables:
  • Accurate and up-to-date fundraising pipeline oversight and reporting
  • Consistent Management Team agenda preparation and action tracking
  • Clear governance documentation and decision logs
  • Improved alignment between revenue forecasting, program reporting, and Finance processes
  • Strong coordination of leadership processes that reduces operational friction.

We are looking for someone who enjoys working at the centre of organisational coordination and who thrives in structured, fast-moving environments.

The ideal candidate will bring:
  • Experience in operations, governance coordination, project management, or organisational support roles
  • Strong organisational and process management skills
  • Comfort working with data systems and CRM platforms (Salesforce experience preferred)
  • High attention to detail and strong follow-through
  • Ability to manage multiple priorities and deadlines across teams
  • Professional discretion and confidence working with senior stakeholders
  • Clear written communication and documentation skills
  • A structured, calm, and proactive working style
